ZEDRA deploys Laserfiche from MBS to support its Digital Transformation
The Challenge
ZEDRA is a leading international provider of Corporate, Fund and Wealth solutions. It employs over 1,400 staff in offices worldwide and is continuing to grow rapidly.
ZEDRA operates in a highly competitive and regulated sector that is undergoing digital transformation in response to the needs of clients, partners, investors and regulators. ZEDRA required a document management system that met several key requirements:
- exceptional document management to enable staff to file and find documents quickly,
- effective records management to support compliance with regulations including data protection,
- process automation tools that are easy to build and use, plus
- the ability to integrate with other systems, notably ZEDRA’s core business system Quantios NavOne.
ZEDRA first undertook a detailed discovery exercise to use Microsoft SharePoint. However, the projected costs of implementation and operation proved to be significantly higher than expected. ZEDRA needed a different solution, one that met its requirements and was quicker and easier to deploy, use and maintain.
The Solution
Following a detailed review of six leading systems, ZEDRA selected Laserfiche, provided by MBS.
Laserfiche is a world-leading document and records management with a proven low/no-code set of tools for business process automation.
MBS provides Digital Transformation technology solutions to over 300 clients in 50 countries including 80 clients in financial services. It is Laserfiche’s Premier Partner in Europe. MBS has worked with Quantios to provide a comprehensive integration between NavOne and Laserfiche that gives users the best of both systems.
MBS and Quantios worked closely with ZEDRA to implement Laserfiche integrated with NavOne. It has now been successfully rolled out to 530 stff in 9 offices worldwide. This included migrating over 17 million files and 11TB. Further rollouts are planned to ZEDRA’s remaining offices in 2027 to maximise the benefits across the Group.

Business process solutions for Trust and Corporate Service Providers (TCSPs)
Laserfiche is much more than a document management system. It also includes an easy-to-use low-code toolset for digitalising business processes. MBS has used this toolset to help ZEDRA to build several solutions to improve key business processes.
As a result, ZEDRA now has ambitious plans to implement more process digitalisation solutions using Laserfiche. To that end, ZEDRA has signed an agreement with MBS to deploy Excapsula, a suite of business process solutions built using Laserfiche specifically for Trust and Corporate Service Providers (TCSPs) like ZEDRA. This is intended to further elevate ZEDRA’s client service, staff productivity and compliance.
The Benefits
Staff now have rapid access to the files they need to serve their clients. The integrated solution has raised staff productivity and accelerated client service while enhancing compliance and security.
In addition, the Excapsula business process solutions are delivering substantial business benefits, including solutions for:
Policies and procedures management. This solution ensures all updates to P&P were subject to appropriate approvals with a fully automated audit trail. It replaced an existing system that no longer met ZEDRA’s evolving requirements and delivered an immediate cost saving.
Document creation. This solution allows the rapid, consistent production and approval of common documents such as minutes and resolutions. This improved speed, accuracy, staff productivity and compliance.
FATCA CRS classification. This solution ensures all classifications have been subject to the required rigorous process and provides a fully-automated audit trail, greatly improving compliance.
Laserfiche is now a core system for ZEDRA and will play an important role in its ambitious plans to automate many more business processes, accelerating client service, reducing costs and strengthening transparent compliance.
